The family owned multiple properties across several states. Their personal assistant had been with them for years and had slowly taken on more and more responsibility. We started by mapping every property and its moving parts. Who had access. What vendors were involved. What systems were in place. What was missing. Then we documented her processes, clarified recurring responsibilities, and helped identify what needed to be delegated or redesigned.

We built simple tools to track tasks, handoffs, and upcoming deadlines. We reset access and roles across properties so there was a clear chain of control. We created a point of contact map, a vendor index, and a shared schedule of key routines.

We also became a direct line of support. When something started to slip or an issue came up she did not have time to handle, she called us. We worked quietly in the background to help her triage what mattered, push back on what did not, and keep things from falling through the cracks.

Over time, it became clear she did not just need backup. She needed authority. We worked with the family to formally elevate her role and transitioned her into an embedded position with us, overseeing operations across their entire personal portfolio.

The biggest difference was not the title. It was the support. She was no longer working alone. When something unfamiliar came up, like a new property, a sensitive trip, or a staffing issue, she had resources.
